The Microsoft Airband Initiative works with internal and external partners to guide and shape innovative products, solutions, and business models that make digital equity (access affordable broadband, affordable devices, and digital skills) a reality for unserved and underserved communities around the world. As part of this, the Airband Team is seeking an experienced Executive Business Administrator to support the General Manager and team. Ideal candidate can navigate and change directions quickly within a fast-paced environment, embrace a challenge head on with confidence, a calm sense of urgency, and a positive attitude. Must be highly organized, collaborative, extreme level of attention to detail and looking to be part of a fun highly energetic team!
Candidate should have strong communication skills, along with a professional demeanor and a desire to remove barriers to ensure success. You must be highly detail-oriented, have strong multi-tasking skills, and practice consistent and timely follow-through. Successful candidate will have demonstrated work experience supporting a team in a fast-paced environment, strong planning, organizational and time management skills, flexibility, ability to work independently and be comfortable operating with ambiguity, multi-tasking, meeting deadlines, changing direction in rapid response to a fluctuating work environment and prioritize among multiple projects with a dynamically changing workload.
Responsibilities
Provide end-to-end calendar support for executive, including proactive planning of external partner meetings in tandem with planned business travel to drive schedule efficiencies.
Manage team rhythm of business, including monthly, quarterly and annual team and customer forums in partnership with business management.
Reconcile and submit expense reports & act as the interim approver for all team expenses
Manage aliases
Open POs and track efficiency of PO management
Manage headcount including requisition and PCN management
Be a liaison with key business partners including HR, Finance
Perform any adhoc administrative tasks
Coordinate space management and event coordination with various stakeholders
New hire onboarding, computer & peripherals ordering
Plan and execute team morale events while keeping within budget
Qualifications
Required/Minimum Qualifications
5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
Demonstrated experience working in an environment that required multi-tasking, meeting deadlines, changing direction in rapid response to a fluctuating work environment and prioritize among multiple projects with a dynamically changing workload.
Proficiency with MS products including Outlook, Visio, Word, Excel and/or PowerPoint.
Additional or Preferred Qualifications
Bachelor’s Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)OR equivalent experience.
2+ years experience serving as mentor to others.
3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
Strong verbal and written communication skills.
Strong attention to detail with strong problem-solving and troubleshooting skills.
Knowledge of corporate organization and culture and ability to navigate it successfully.
Strong cross-team collaboration & organizational skills.
Ability to be flexible and work quickly and efficiently.
Ability to react with appropriate urgency to situations and requests.
Must be able to maintain confidentiality and use discretion and judgment at all times.
Exercise sound judgment, tact, diplomacy, integrity and professionalism in all communications.
Strong planning, organizational, and time management skills
Emotional intelligence and professionalism: ability to represent Microsoft well with important external community partners.
Knowledge of Microsoft internal tools such as Employee Central, iCIMS, MS Travel, MS Expense, MS Approvals, MyOrder, MS Invoice, and HeadTrax.
