This position requires stellar interpersonal skills, initiative, good judgment, common sense, the ability to maintain confidentiality, set priorities and handle multiple tasks simultaneously. The ideal candidate should have a robust customer service approach, be self-directed and take the initiative. Strong written and verbal communication skills and the ability to react appropriately to situations and events that require quick response or turnaround are a must. This person should have a proven track record of proactively managing multiple calendars, shift directions/be flexible in changing situations, and prioritize incoming work.
Responsibilities
Responsibilities:
Management of calendar with attention to accuracy, timeliness, conflict resolution and alignment to the leaders priorities and commitments
Planning and coordination of complex domestic and international travel itineraries
Timely and accurate reconciliation of expenses
Coordination and logistical support for onsite and offsite meetings/events including All Hands, Morale Events, Team Training and Leadership Offsites
Assist with headcount management, org chart maintenance and distribution and security group ownership and management
Team support including space management, office moves, new hire set up and onboarding and procurement of equipment and supplies
Proven professional approach to dealing with highly sensitive and confidential information
Ensure compliance with administrative operations policies and procedures
Other administrative tasks as required
Qualifications
Required Qualifications:
A minimum of 3 years demonstrated work experience in a fast-paced business administrative capacity.
In depth knowledge and proficiency in Outlook, Word, Excel, PowerPoint and Visio is required.
Preferred Qualification:
Must be positive, proactive, very detail oriented and driven to succeed. Knowledge of corporate organization and ability to navigate it and knowledge of departmental business practices and tools strongly preferred. Proven reputation for confidentiality, upholding corporate values and helping others succeed.
