Responsibilities
Location: Preference is Arlington VA office however open to remote candidates
The Administrative Assistant plays a key role in in the Clinical Strategy and Quality organization, providing direct support to the Senior Vice President along with support to the leadership team as needed. This position will manage the SVP calendar, coordinate meetings and execute various administrative responsibilities. This role will interact with internal and external parties in support of departmental objectives and will require a working knowledge of the organization and programs in order to prioritize accordingly.
In this position, you will:
Provide complex calendar management, including scheduling meetings and speaking engagements, and effectively prioritizing the most sensitive matters
Manage multiple stakeholder requests at a fast pace and effectively navigate complex coordination across different parts of the enterprise
Coordinate travel arrangements and prepare expense reports
Schedule department events, help manage internal department meetings, organize and manage all details related to key business meetings
Assist leadership team with reports, agendas and meeting minutes; compose letters, e-mails, and memos on routine matters
Receive and processes bill payments
Research, price, and purchase office supplies
Provide guidance on administrative tools or processes to the team
Support other projects and initiatives as assigned (e.g., support with presentations, meeting strategies, managing internal tools such as SharePoint and Teams)
Collaborate with other administrative coordinators across the company
Interact with leaders of all levels within the department and across the company, demonstrating executive presence, confidence, and ability to remain calm under pressure
Manage self and work independently with judgment, tact, emotional intelligence, sense of urgency and accountability
Model positivity, collaboration, and precision
Maintain strict confidentiality
Required Qualifications
2 or more years of previous administrative experiences
Ability to anticipate needs, take initiative, resourcefulness and responsiveness are essential
Proficiency in Microsoft Office Programs (Outlook, Word, PowerPoint, Excel etc.)
Strong attention to detail
Skilled at balancing multiple initiatives and competing priorities in a fast paced environment
Excellent communication and organizational skills
Capacity to work independently and lead with executive presence
Ability to maintain confidentiality when necessary
Experience working with expense submissions and approval processes
Experience scheduling travel and meetings
Desired Qualifications
High School Diploma
Associate’s or Bachelor’s Degree
Experience planning events
Experience managing executive-level schedule
Experience with floor/space planning
Additional Information
For this job, associates are required to be fully COVID vaccinated or undergo weekly COVID testing and wear a face covering while at work. The weekly testing will need to be done through an approved Humana vendor, and unvaccinated associates should follow all social distancing and masking protocols if they are required to come into a Humana facility or work outside of their home.
