Responsibilities
Location: Washington, DC is a strong preference however open to other locations – remote and in office
The Executive Assistant will support the Segment President of Home Solutions & the Senior Vice President of Long Term Planning. The ideal Executive Assistant will serve as the external face for these executives by providing strong administrative support along with prioritizing meetings both telephonically and in person. You will also be responsible for communicating on behalf of these executives with politeness and respect. The core functions of the role include, but are not limited to:
Acts as the external face for the Segment President & Vice President’s offices to stakeholders seeking scheduling
Managing schedules for both internal and external meetings of applicable staff to ensure calendar accuracy, etc.
Making travel arrangements and completing expense reporting
Demonstrate politeness, appropriate accessibility, and service culture.
Assist Segment President to be as efficient as possible (ensuring detailed travel itineraries)
Assisting with setup and ordering of meeting amenities, catered lunches and very infrequent dinner parties
Entry, formatting, and printing/copying of various correspondence, meeting minutes, presentations, documents, etc. through Microsoft Office suite of products and other business software.
Assist in managing department budget and responsible for contract development and invoice payment.
Assist in receipt and distribution of mail and parcels.
Resolve with internal IT and workplace solutions teams any computer, copier, printer, and phone/telecommunications issues.
Ensure coverage when out of office
Ordering of office and cleaning supplies.
Required Qualifications
Previous Administrative experience supporting executive level individuals, or related experience
Ability to work effectively in a fast-paced environment, think on your feet and remain calm under pressure
Strong attention to detail: ability to manage many details related to coordinating calendars and schedules, follow-up requests, travel-related planning, etc.
Proficient in Microsoft applications: PowerPoint, Word, Excel, Outlook
Professional image: ability to build strong working relationships with people, internally and externally
Emotional intelligence: demonstrated ability to manage self around others and in difficult situations, remaining in control and professional at all times
Organized: ability to balance multiple initiatives. multi-task, and prioritize workload
Forward-thinking: ability to be pro-active and expect the unexpected
Ability to anticipate needs, take initiative, resourcefulness and responsiveness are essential
Excellent communication and organizational skills
Desired Qualifications
High School Diploma
Associates or Bachelor’s Degree
Experience with Concur and/or similar expense and travel management systems.
Experience with internet research and proof-reading/editing.
Additional Information
Associates are required to be fully COVID vaccinated, including booster, or undergo weekly COVID testing and wear a face covering while at work. The weekly testing will need to be done through an approved Humana vendor, and unvaccinated associates should follow all social distancing and masking protocols if they are required to come into a Humana facility or work outside of their home.
