The Sales and Marketing Group (SMG) Amazon Team is seeking an experienced, organized and action-oriented executive admin to partner with our Amazon Team Executive, staff and Customer. We are looking for an admin who enjoys working in a high energy environment, who is experienced, organized, collaborative, and action-oriented and extremely flexible to adapt to the ever-changing extremely fast-paced office, while providing top level professional support. This role requires a person who can handle high stress and have fun at the same time, driving an efficient and productive office.

Candidate must have customer-facing experience, coordinating complicated calendars within Intel and with outside Customers as well, building relationships within Intel Executive Admins, as well as with our Customer’s Executive Admins. The candidate must have strong interpersonal skills and will be expected to work smoothly and professionally with other admins to help facilitate timely and accurate planning. This candidate should be a high performer with a passion for growth, execution, and shareholder value creation with unquestionable integrity.
The Executive Administrators responsibilities include, but are not limited to:
Strong calendar management for the VP’s calendar, maintain Staff agendas and assist in planning internal and external customer meetings, external engagements, conferences, etc.
Make extensive travel arrangements, domestic and international, and prepare expense reports.
Organize and coordinate department meetings, quarterly events, recognition, and teambuilding activities, virtual and face-to-face, across the organization.
Keep abreast of all organizational changes and business developments, maintain in-depth understanding of office management procedures as well as departmental and legal policies.
Keep accurate and detailed department records, including maintaining Teams, SharePoint, Yammer page, org charts, email distribution lists, etc.
Perform general administrative duties such as generating Purchase Orders and paying invoices, ordering supplies, ordering recognition gifts, generating shipping memos, etc.
Anticipate the business needs to help ensure deadlines and that goals are met.
Receive, interpret, and evaluate requests, take appropriate responsive action, and determine when staff should be notified or involved. In the executive’s absence, ensure that requests for action or information are distributed to the appropriate staff member.
Assist with tactical projects and programs for the department, prepare presentations, edit and review documents for quality control.
Collaborate with other admins to improve the efficiency of administrative processes.
Customer Relationship and Leadership experience preferred.

Cross org admin collaboration experience required.
Proven teamwork, critical thinking, decision-making and problem-solving skills.
Interpersonal and communication skills, and comfortable interacting with all levels inside and outside Intel.
Handle multiple responsibilities while maintaining a high-level of performance/professionalism.
Resourceful team player and self-starter with the skills to work with minimal supervision/direction and ambiguity.
Possesses a strong customer service orientation and uses judgement and discretion when handling sensitive, confidential information.
Strong multitasking skills with attention to detail and strong follow-through.
Must possess the skills to work in a fast-paced and dynamic work environment with grace and professionalism.
You must possess the below minimum qualifications to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates. This position is not eligible for Intel Immigration sponsorship.
Minimum Qualifications:
5+ years’ experience as an executive assistant or related role working with outside Customers.
5+ years’ experience with Microsoft 365 and all Microsoft tools (Outlook, Word, Excel, PowerPoint, SharePoint Online, MS Teams, etc.).
5+ years’ experience with executive calendar management including coordinating complex meetings internal/external attendees, and video conference room booking, etc.
5+ years’ experience with travel itineraries, visa application, expense reporting and Administrative Tools such as Concur and Workday.
Preferred Qualifications:
7+ years’ experience as an executive assistant or related role specifically working with outside Customers.

Annual Salary Range for jobs which could be performed in US, Colorado, New York, Washington, California: $61,450.00-$92,230.00 (Hourly Role)
*Salary range dependent on a number of factors including location and experience
This role is available as a fully home-based and generally would require you to attend Intel sites only occasionally based on business need. This role may also be available as our hybrid work model which allows employees to split their time between working on-site at their assigned Intel site and off-site. In certain circumstances the work model may change to accommodate business needs.
