As a Business Administrator you will be responsible for a broad spectrum of activities from normal admin-level support to executive-level interfaces in a fun and exciting team environment.
Responsibilities
This successful candidate will have these key responsibilities and a proven track record:
Ability to manage a complex & fluid calendar for a Partner C-Level Executive and global
Highly creative with the ability to think outside of the box, and proactive in planning and execution of various tasks – from calendar/meeting conflicts, external customer communications, team milestones and events.
Work with Lead Admin on Rhythm of the Business and key priorities
Manage headcount, space coordination, end to end set up for new Full-Time Employees (FTE) and vendors
Collaborate to track budget while coordinating planning & logistics of virtual team morale events
Procurement of goods and services including computer equipment, office supplies, reference materials. MS Order and other tools knowledge required.
Regularly manage membership to the team and process all new access requests
Regularly manage group memberships to provide inner ring access to select employees across the company
Manage Teams org chart and manage up to lead admin with any changes affecting workflow
Liaison with team leads to open Rec’s for contract and FTE employees capturing all essential information and working to push the timeline
Qualifications
Qualifications:
4+ years of administrative experience plus time supporting a Partner C-Level Executive with opportunity to cover CVP of department
Four-year bachelor’s degree from an accredited College or University
Prior experience working with Customer and Partner needs
Experience creating content and special projects as needed
Ability to accommodate different work styles in an ever-changing environment, maintain high integrity, confidentiality, and excellent customer service skills.
Must be a strong team player who will demonstrate drive and initiative
Must be able to lift 50 lbs
Must have experience communicating with partners and customers at a high level
Must have a positive and professional approach
Ability to identify situations with stakeholders and needs for escalation
This position requires strong attention to detail & problem-solving skills
Ability to change direction and re-prioritize, in response to changing work situations
Ability to react with appropriate urgency and maintain composure in situations and events that require a quick response or turnaround
High level verbal and written communication skills to various audiences internally, externally and globally
Ability to set and prioritize one’s own work agenda and drive team progress in key areas by being very proactive, detail oriented, and a strong team player in a busy and sometimes hectic environment
Consistently demonstrate a professional and can-do attitude; eagerness and ability to work effectively under pressure with significant time constraints, and in relatively ambiguous and complex situations
Highly Level proficiency with MS. Tools – HeadTrax/MSS; MS Expense, MyOrder, iCIMS, Employee Central, etc.
Highly knowledge and proficient with Microsoft products including Outlook, Word, Excel, PowerPoint, Visio, OneNote and SharePoint software
