Responsibilities
Responsibilities include but are not limited to:
Support the Director of Engineering and his teams by managing day-to-day operations for EMX Engineering across the country
Key driver of Engineering Rhythm-of-Business scheduling and team calendar including All Hands, large- and small-scale off-site meetings and planning cycles.
Manage team-level lab budgets and discretionary budgets and send regular reports to the leadership team.
Proactively manage headcount, send weekly reports to the leadership team, and provide recruiting support for manager.
Provide calendar management with attention to detail, accuracy, timeliness, conflict resolution and alignment to the leader’s priorities and commitments.
Plan and coordinate domestic and international travel end-to-end including the proactive anticipation of logistics and itineraries, as well as the reconciling and submission of expense reports.
Time-zoned prioritized work schedule as well as remotely supporting the Director when traveling.
Manage procurement for teams including purchasing equipment, services, and supplies, creating purchase orders and processing invoices.
Act as interim approver on team expense reports, ensuring coding accuracy.
Manage team distribution and security groups.
Collaborate on planning and support of all-up events including morale events, and other group meetings as needed.
Full space management for the Redmond team.
Responsible for onboarding and offboarding office set up and clean out for incoming and outgoing employees and interns.
Collaborate with other SCM admins, business managers, finance partners, and recruiting partners on org wide needs and partner with other admins in the organization

Qualifications
Basic Qualifications:
5+ years of industry experience in an administrative support role
2 years’ experience supporting partner level managers or equivalent in a fast paced and complex environment, understanding the manager’s needs and making appropriate decisions and requests on their behalf.
Proactive participation of manager needs and able to work independently to make administrative decisions and requests for information on behalf of the Director
Supported a global team, with remote employees, dealing with ambiguity in a timely manner
Strong project and operational management skills including budget management, recruiting management, event management, calendaring, and understanding the business to help the decision-making process
Effective organizational, analytical, prioritization, written, and interpersonal and communications skills
Maintain the confidentiality of highly sensitive material with tact and professionalism
Desire to take on big challenges and the ability to see the big picture as well as the details
Ability to work well in a changing environment, under pressure and on short notice, to react with appropriate urgency to situations and requests
Maintains organization data hygiene with exceptional attention to detail and strong problem-solving and troubleshooting skills
Must be organized and adaptable to work successfully in a team environment with the ability to build effective cross-group working relationships at all levels of the organization
Advanced knowledge of Microsoft products: Microsoft Excel (including building and editing pivot tables, using vlookup, etc), Microsoft Outlook, Microsoft Teams, Microsoft OneNote, and the Windows Operating System

Knowledge and proficiency with internal systems including: MyOrder, Employee Central, MS Expense 2, iCIMS, HR Insights, IDWeb, Informa, Goods & Services Receipting (GSR), University Candidate Tracker, and MS Facilities
Has a strong desire to grow and able to learn new areas quickly
Has strong interpersonal communication skills, can rapidly gain/build trust and confidence of internal and external partners
Receives constructive feedback gracefully and takes responsibility for their own personal growth and education
Has a good sense of humor and ability to connect with people inside and outside the team
Ability to self-direct and work independently, deal with ambiguity and act with appropriate urgency and flexibility with a positive attitude and professionalism
Ability to meet Microsoft, customer and/or government security screening requirements are required for this role.
