Responsibilities
Calendar management and meeting logistics – Use discretion to make independent decisions to prioritize customer/partner meetings and urgent escalations, while balancing the overall rhythm of business (ROB). Uses executive maturity and judgement to own multiple decision making processes, in close partnership with stakeholders and peers. Exercises a sense of priority and awareness for high impact meetings (e.g., high profile, large scale) and urgent business needs.
Domestic and international travel logistics management (flights, transportation, visas, et al)
Event support for external and internal (large to small scale) events
Procurement resource management of goods/supplies, managing POs, SOW’s, and contracts end to end with accuracy/detail
Work closely with the Senior Executive Assistant, Lead Executive Administrators, and other support staff across WebXT/Microsoft/externally as needed
Ensure compliance of administrative operational policies and procedures.
Lead and collaborate logistics of the Secure Admin Workstation (SAW) program across WebXT
Maintain SAW accuracy and compliance
Overtime may be required
Some travel may be required
Qualifications
Required Qualifications:
6+ years of administrative support or related experience
Proficiency with Microsoft software including: Word, Outlook, Powerpoint, Excel, and SharePoint
Demonstrated customer service abilities and strong written and verbal communication skills
Preferred Qualifications:
Bachelor of Arts/Science (BA/BS) or equivalent experience preferred
Knowledge of internal Microsoft tools
Agility and experience in providing proactive, exceptional support
Ability to work quickly and efficiently with attention to detail and accuracy
Strong organizational skills with the ability to integrate a wide range of inputs as well as work on several complex projects simultaneously
Demonstrated initiative, resourcefulness and strong work ethic with the ability to maintain confidentiality
The ability to communicate effectively with others at all levels within the organization, as well as our valuable partners and clients
A calm focused and positive person under pressure and in relatively ambiguous and complex situations
